Admission Inquiries

Track every inquiry from prospective students and their families.

Receiving a New Inquiry

  1. Go to Admissions → Inquiries.
  2. Click Add Inquiry.
  3. Fill in:
    • Student name, date of birth
    • Parent/guardian name and contact
    • Class applying for
    • Source (Walk-in, Phone, Website, Referral)
    • Any notes
  4. Click Save.

The inquiry starts with a status of New.

Following Up on an Inquiry

  1. Open any inquiry from the list.
  2. Click Add Follow-up.
  3. Enter your notes about the conversation or visit.
  4. Click Save Follow-up.

All follow-up notes are timestamped and stored under the inquiry.

Inquiry Status Workflow

Move an inquiry through these stages as it progresses:

StatusMeaning
NewJust received, not yet contacted
ContactedYou have reached out to the family
ScheduledA visit or meeting has been arranged
AdmittedStudent has been enrolled
RejectedInquiry was not converted

To change the status, open the inquiry and select the new status from the dropdown.


Public Admission Form

Prospective parents can submit an inquiry directly through a public form. Share this link with them:

https://yourschool.geniussms.com/apply/your-school-slug

Submitted forms appear automatically in your Inquiries list.


Visitor Log

Keep a record of all visitors to the school.

Logging a Visitor Check-In

  1. Go to Admissions → Visitors.
  2. Click Check In Visitor.
  3. Enter:
    • Visitor name
    • Phone number
    • Purpose of visit
    • Person they are meeting
  4. Click Check In — the arrival time is recorded automatically.

Checking Out a Visitor

  1. Find the visitor in the list.
  2. Click Check Out — the departure time is recorded automatically.

You can see all current visitors (those checked in but not yet out) at the top of the list.
